More about this postal service
Is your vehicle already abroad while it still has a Dutch registration? Auto Export Document Netherlands can help you complete the export remotely from our office in Hengelo. You send the Dutch registration plates to us by post and provide the agreed information by WhatsApp or email. You can discuss your case with us in English, even if the owner, buyer and vehicle are now in different countries.
After checking the file and receiving the required items, we process the export documentation and send it to your address abroad. You then receive registration certificate part 2, also called the vehicle export document, for use in the next stage of the local import registration. Export insurance and export registration plates can be added on request when they are suitable for the vehicle, route and intended use.

- If everything can be sent in one parcel, the total may be lower. We calculate this in your quotation.
- If documents and plates have to be sent separately, delivery costs may apply twice and the total may be higher.
- You arrange and pay for sending your Dutch plates to Hengelo. Foreign import duties, local registration charges and any customs costs are not included in the services or prices above.
What do we need from you?
The checklist below helps you prepare. Which originals are required and how they must be supplied depends on the registration and ownership situation. Ask us to confirm this before posting anything.
Start on WhatsAppDutch registration plates
The Dutch plates belonging to the vehicle, normally both plates for a car. Report missing, stolen or damaged plates before sending your parcel. Do not send an incomplete set without first discussing it with us.
Registration certificate and registration details
Have the Dutch registration card and its registration code ready, or the available paper registration sections if the vehicle has an older certificate. First send a clear explanation of what you hold. We will tell you which details and originals your particular file requires.
Identity and authority to act
Details of the owner and/or buyer, plus a valid identity document when needed for processing. Are you acting for another person or a company? Discuss the required authorisation or company documents with us first. Never send your original passport by post.
Vehicle and foreign destination
Provide the registration number, vehicle identification number (VIN), mileage, current country and whether the vehicle still needs to be driven. If insurance is requested, the intended period of use and route are also relevant.
Complete delivery address and contact details
Provide the recipient’s name, street and building number, postcode, town or city, country, email address and a telephone number where the recipient can be reached. Check every detail carefully because address errors can delay delivery and the subsequent import process.
Step by step: arrange Netherlands car export online and by post
- 01
Discuss your situation by WhatsApp or email
Tell us where the vehicle is located, whether it still carries Dutch plates and which documents you have. State whether you need only the export document or also export insurance and export plates. At this first stage, share only the information needed for us to assess the request.
- 02
Receive the checklist and final quotation
We check what can be done in your circumstances and confirm the required items, the selected DHL service and the delivery address. Discuss whose name will appear on the export certificate and ask the foreign registration authority whether it will accept this. We also tell you whether one parcel or several parcels will be needed. Once you agree, we arrange payment and explain how to supply everything.
- 03
Send the Dutch registration plates to Hengelo
Pack the plates securely and include a recognisable reference, such as your name and Dutch registration number. Send them to the office address we have confirmed, and retain your proof of postage and tracking information. Include only those original documents that we have expressly requested.
- 04
Provide the remaining information digitally
Send the agreed details by WhatsApp or email. Make sure every image is complete and legible. Do not share identity documents or registration codes in public messages. If you are unsure, ask which information is necessary and which secure delivery method is appropriate.
- 05
We check and process the export request
Once the plates and all required information have arrived, we check the file. If something is missing or a detail is incorrect, we contact you. Outbound delivery begins only after the export processing and any agreed additional products are ready.
- 06
Receive the parcel with track and trace
We send the export documentation and, if agreed, the export plates to your address. You receive tracking so that you can follow the shipment. On receipt, check your personal details, registration number and VIN, and report any discrepancy immediately.
- 07
Arrange import registration in the destination country
Use the export documentation together with the other vehicle and ownership documents required by the local registration authority. The Netherlands export process and the destination country’s import process are separate. The foreign authority decides on local registration, inspections, taxes and permission to use the vehicle.
For Dutch-registered vehicles already outside the Netherlands
This procedure is intended for a Dutch-registered vehicle that is already in another country. You do not need to return the vehicle to Hengelo solely for postal processing. We assess in advance whether your particular file can be handled remotely, based on the plates, ownership position and documents available.
International English-speaking customers may request the postal service for destinations worldwide. Ireland is within the EU, so you can ask whether the EU-only DHL Express option is available for your Irish address. The United Kingdom is outside the EU, so the one-working-day EU Express estimate does not apply there. Standard insured and secured tracked delivery can be requested for either destination and elsewhere worldwide, but the address and carrier service must first be confirmed.
Before applying, contact the vehicle registration authority in your destination country and ask which original documents, translations, inspections and proof of payment they expect for your exact vehicle and circumstances. For Ireland, check the vehicle registration guidance from Revenue and the National Car Testing Service (NCTS). In the UK, ask the Driver and Vehicle Licensing Agency or the responsible authority for your part of the UK. Also check with the carrier whether the destination address is serviceable. A Dutch export document does not replace local import registration, and we cannot promise acceptance by a foreign authority or a particular delivery date.
Netherlands registration certificate part 2: what do you receive?
Registration certificate part 2, also described in this procedure as the vehicle export document, forms part of the Dutch export documentation. It is not the same as a Dutch registration certificate that allows you to continue driving without limits. Keep it with the ownership, identity and vehicle papers needed for registration in your destination country.
Be aware that notifying the RDW online yourself is different from this service. According to the RDW, when you notify it that a vehicle is already abroad, you do not receive an export certificate, also known as registration certificate part 2. If the registration authority abroad requires this document, discuss the appropriate export procedure in advance and do not deregister the vehicle yourself first.
The RDW states that a contact person in the Netherlands can arrange the export if you cannot attend in person. In that case, the name of the person arranging the export appears on the export certificate. Before processing, ask the foreign registration authority whether it accepts this. Discuss with us who will act in your file and which documents are required.
Discuss whether you need documentation only or temporary export plates and insurance as well. Export insurance is not a guarantee that you may drive in every country or on every route. The cover, validity period, plates and local road rules must fit your actual situation. If the vehicle will travel on a trailer or transporter, your needs may be different.
Delivery time, insurance and separate parcels
Approximately five working days for standard DHL and approximately one working day for DHL Express within the EU are transit estimates starting when we dispatch the outbound parcel. They do not include the time needed for your plates to reach Hengelo, our file check or processing before dispatch. Weekends, public holidays, customs checks, the destination address, carrier service and incomplete information may extend the overall time.
Both document options include track and trace and insured delivery. The standard option uses insured and secured post. The carrier’s terms, compensation limits and service restrictions continue to apply. Insurance and tracking do not provide an unlimited compensation guarantee or a guarantee that delivery will occur on a specific day.
Plan use of the vehicle and the start date of any insurance only after consultation. Where possible, combine the outgoing documents and export plates in one parcel. If a second shipment is required, ask for the total amount before agreeing because multiple parcels can cost more, while one combined parcel may cost less.
